For many businesses, especially here in Bangladesh and across the Middle East, WhatsApp is where customers actually talk. Orders, delivery questions, complaints and "is this available?" all arrive in the same chat app, often on one person's phone. Automation can help a lot here, as long as it's done the right way.
Use the official API
There are two ways to automate WhatsApp:
- Unofficial tools that control a WhatsApp Web session. They're cheap and quick, and they risk getting your number banned.
- The official WhatsApp Business Platform (the Cloud API from Meta), used directly or through a provider. It's built for businesses and it's what I use.
The official route needs a verified Meta Business account and a phone number dedicated to the API. It's a little more setup, and it's the only one I'd trust with a business number customers know.
Three things worth automating
1. Order and delivery updates
"Order confirmed", "shipped", "out for delivery", "delivered". These go out automatically when the status changes in your system: Shopify, WooCommerce or a custom Laravel back office. Business-initiated messages use pre-approved templates, so I write and submit those early.
2. Answers to common questions
Price, availability, delivery charge, location, opening hours. An AI assistant connected to your product list and policies can answer these in Bangla, English or a mix, any time of day. It answers from your data only, and says when it doesn't know.
3. Capturing orders from chat
Instead of copying orders from chat into a spreadsheet, the assistant collects the name, phone, address and items, confirms them with the customer and creates the order in your system. A person reviews it before it's final.
The rules that keep customers happy
- Opt-in. Only message customers who agreed to hear from you.
- Always offer a human. "Talk to a person" should be one tap away.
- Hand over complaints immediately. Never let a bot argue with an upset customer.
- Don't spam. A few useful updates beat daily promotions.
A shared inbox for the team
Once messages go through the API, they no longer live on one phone. Your team can see and answer chats from a shared inbox, with the AI handling the routine messages and people handling the rest.
What it costs
Meta charges per conversation or message type, which varies by country and category. On top of that comes the build and a small hosting cost. For businesses that get a lot of repetitive WhatsApp messages, it's usually one of the fastest automations to pay for itself.
